The Subscriptions app opens up many options in the EasyPractice system. With Subscriptions, you can receive subscription payments from your clients and have an overview of your subscribers.
With Subscriptions, you can get an easy overview of your clients’ subscriptions, who has an active subscription, whose subscriptions are about to expire, and how much you have earned from your subscription. Then you can also see which subscription type serves the best in your company.
The app requires EasyPay to use, which is our own payment solution. If you have not activated EasyPay yet, you can find a guide to EasyPay here. The reason why EasyPay is required is so that the subscription payment can be renewed automatically when the client’s subscription period needs to be renewed. This happens completely automatically with the subscription app.
For the same reason, it also requires the Online Booking app to use Subscriptions. Since the clients themselves must go in and give EasyPay consent to the continuous collection of the payment, this must be done via the Online Booking page.
To activate the subscription app, please go to your account and go to the Apps tab. There you will find the subscription app, click on activate. Then please click on the settings of the apps to start creating subscriptions.
In your subscription settings, you can see the list of previously created subscriptions and you can also click on the green button at the top left to create new subscriptions.
When creating a new subscription, you can add a title and description. I took a yoga course as an example, which takes place once a week and will be renewed automatically.
You can still decide whether you want this subscription to appear in your online booking or not. In addition, you still have to set the price and can decide whether you want to offer the price with or without VAT. Finally, decide on the frequency of your subscription:
Then you simply press save and the new subscription is ready for your customers.
To get to the overview for a specific subscription, simply click on the subscription in the list. In the overview, you can edit the settings for the subscription afterwards, and see how many clients have already bought the subscription and how much revenue you have made with it.
With Subscriptions, you of course also get some tailored options for e-mails. Like other e-mails and SMS messages, you can find settings for these under “Settings” -> “E-mail and SMS” in the EasyPractice system. Set these messages exactly as you want and they will be automatically sent to your clients.
The confirmation is sent to the client as soon as they sign up for a subscription. The standard description contains the name of the subscription, the price, the frequency of renewal, the registration date, and the renewal date.
The notification is sent to you when a client signs up for a subscription. You can select or deselect this notification in the settings. It is especially good if you want to know when a client signs up.
The update is sent to the client when the subscription price is updated or when the renewal date changes.
The cancellation message is sent to the client when they cancel their subscription via your Online Booking page, or when you cancel their subscription manually.
The unsubscribe notification is sent to you when a client unsubscribes from their subscription. You can select or deselect this notification in the settings. However, it can be good to have, as you can ask the client if there is anything you can do to continue the subscription.
In your online booking, your customers can now see and buy your various subscriptions under the Subscriptions tab.
Now your clients can choose which subscription they want to buy and will be guided through the purchase process. In the end, your clients have to pay with a credit card.
The whole payment process, as mentioned above, is handled by our own payment system called EasyPay. The subscription is automatically renewed if the customer or you do not end the subscription. After completing the purchase, you have a new client who has subscribed and this client is also displayed in the subscription overview.
