While the opening hours of your clinic can be edited on the Calendar page, there are some additional settings in EasyPractice that will impact your available hours online. These include the time interval, the booking limit, the closest booking time, and the availability of your calendars. All of these settings will be explained on the following page.
The ‘time intervals’ decide at what time your available slots in the Online Booking are shown. This determines the number of available slots in your Online Booking: Shorter time intervals will give your clients more booking options. Longer time intervals will narrow down the number of available slots, for you to have larger control over your schedule.
Example 1: A time interval set to 5 minutes will allow your clients to book a time at 9.00, 9.05, 9.10, 9.15, and so on.
Example 2: A time interval set to 60 minutes will allow your clients to book a time at 9.00, 10.00, 11.00, and so on.
To set your time intervals, go to ‘Settings’ in the top menu bar and choose ‘Online Booking’. Under the menu bar named ‘Available times’, you will find the option for Intervals:
Note that you can set a time interval for every calendar you have created. The general opening hours and pauses you have added to that calendar will then automatically be applied to the time interval. This means that the available slots will vary depending on your general opening hours.
Example 3: If you open your clinic at 9.15 and set your time interval to 60 minutes, your clients will be able to book a time at 9.15, 10.15, 11.15, and so on.
Finally, remember to click on ‘Save settings’ to save your time intervals.
With the function ‘Booking limit’, you can decide how many appointments you would like to have in a day. This allows you to be more flexible with your available slots, without having to take on an overload of work. Your Online Booking will then automatically close when the maximum number of appointments on a day has been reached.
To edit your Booking limit, go to ‘Settings’ in the top menu bar and click on ‘Online Booking’. Here, you will find ‘Available times’ in the menu bar and the option ‘Booking limit’ beneath:
Again, click on ‘Save settings’ to save your settings.
If you like, you can decide how close to an appointment or how far away in the future your clients can book an appointment with you. This will help you to avoid last-minute bookings or bookings too far away in the future.
These settings can also be found in ‘Settings’ –> ‘Online Booking’ –> Available Times:
Finally, click on ‘Save settings’ to save your closest and furthest booking time.
The final setting decides the availability of your calendars. Calendars need to be activated for Online Booking in order for your clients to book appointments in them online.
To activate a calendar for online bookings, go to Settings –> Online Booking –> Available times and choose which calendars you would like to activate. The green button shows that the calendar has been activated:
Finally, click on ‘Save settings’ to activate the calendar.
