Automatic messaging is a useful tool when running a business based on close customer contact. In EasyPractice you will find a number of different options for automatic sending of E-mails and SMS messages. This includes, for example, SMS reminders, booking confirmations, invitations, and notifications. You decide which functions you want to use and whether the message should be sent via SMS or e-mail.

Enable messaging features
This feature will allow you to send mass SMS or e-mails to your clients. To activate the e-mail and SMS function, go to ‘Settings’ -> ‘E-mail and SMS’ in your system. Here, you will find all available messaging features and you can quickly and easily activate the ones you need. You can activate confirmation messages when your clients book an appointment, appointment reminders that go out a day before the appointment, follow-up messages after appointments, and cancellation messages when the appointment gets cancelled. In addition, you can edit the message that will be sent to your clients, for a more personalized customer contact. Receiving an appointment reminder text can be helpful in reducing no-shows and last-minute cancellations at your clinic.
Depending on which apps you have chosen to activate in EasyPractice, the various messaging functions will appear under E-mail and SMS. If you use the ‘Surveys’ app, you can, for example, choose to set up an automatic dispatch of your surveys. Or if you use the app ‘Video Meetings’ then you can quickly and easily send invitations to your E-consultations. You choose what ever works best for your system!
Why use automatic messages
Writing personalized messages to your clients would be ideal, however with a large number of clients that might be impossible, or simply too time-consuming. Automatizing this part of your work will allow you to save time and be sure that your clients are getting proper information in their messages. Getting a confirmation text will make your clients know that they have booked an appointment properly and it will give them all the information about that appointment in one place. An e-mail or an SMS reminder go a long way in making sure your clients won’t forget that they have booked an appointment with you. Your clients will receive an appointment reminder a day before their appointment which will leave them with plenty of time to prepare. Being able to send mass SMS or e-mails would be particularly useful if you have some news or special offers and you would like to inform all of your clients about it.
Send messages to specific clients
If there is a specific group of clients, that you wish to message, there is a filter function you can use. You can, for instance, filter out the clients that had an appointment with you this week and send a quick mass sms or e-mail to them. To do this, you will find the filter function in the top right corner on your client page. Click on the ‘Show all’ bar and choose which clients to filter out. Then click on ‘Select clients’ –> ‘Select all clients with bookings’ to choose all clients with this filter. This way you will not have to manually find all the clients that you need, and will quickly and easily be able to contact them for any reason you might have.
